This Privacy Policy explains how KuwaLog (referred to as we, us, or our) collects, uses, and protects personal information when you use the KuwaLog web and mobile applications (together, the Service). We process personal data in accordance with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and the issuances of the National Privacy Commission.

By using the Service, you agree to the practices described in this Policy.

1. Who we are

KuwaLog is warehouse management software offered in two modes — Inventory & Distribution and Asset Tracking — available on the web and on mobile devices. KuwaLog is provided to organizations (referred to as workspaces or tenants) and their authorized users.

2. Information we collect

  • Account and workspace information — your name, email address, password (stored only in hashed form), workspace or company name, and your role within the workspace.
  • Employee and operational records — information you or your organization enters to run the warehouse, such as staff records, inventory items, orders, and asset check-in and check-out logs.
  • Attendance photos — when you use attendance features, the app may capture a photo to confirm the identity and time of the record.
  • Camera data — the app uses your device camera to scan barcodes and QR codes for inventory operations. Scanned frames are processed on the device to read the code and are not stored as photos by us.
  • Bluetooth data — the app connects to NIIMBOT label printers over Bluetooth to print labels. We do not use Bluetooth to determine your location, and the app is configured so that Bluetooth scanning is never used to derive location.
  • Device and diagnostic information — basic technical data such as app version, device model, and error logs used to keep the Service reliable.
  • Offline data — to work without a connection, the app stores operational data locally on your device and synchronizes it when you are back online.

3. How we use information

We use personal information to provide and operate the Service; authenticate users and secure accounts; record attendance and inventory or asset operations; enable label printing; provide customer support; maintain, troubleshoot, and improve the Service; and comply with legal obligations.

4. Legal basis for processing

We process personal data on the bases permitted by the Data Privacy Act, including your consent; the performance of a contract to which you are a party (your use of the Service); compliance with a legal obligation; and our legitimate interests in operating and securing the Service, provided these do not override your fundamental rights and freedoms.

5. Sharing and disclosure

We do not sell personal data. We may share personal data with service providers that host and support the Service (for example, cloud hosting), bound by confidentiality obligations; with the administrators of your own workspace, who control the data within that workspace; and with authorities where required by law or valid legal process.

6. Data retention

We retain personal data for as long as your workspace account is active or as needed to provide the Service, and thereafter only as required to comply with legal obligations, resolve disputes, and enforce our agreements. Data stored locally on your device is removed when you sign out or uninstall the app.

7. Data security

We implement reasonable and appropriate organizational, physical, and technical measures to protect personal data against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your rights under the Data Privacy Act

Subject to the conditions of the law, you have the right to be informed; to access your personal data; to object to processing; to rectify inaccurate data; to erasure or blocking; to data portability; and to lodge a complaint with the National Privacy Commission (privacy.gov.ph). To exercise any of these rights, contact us using the details below. Where your data is controlled by your organization, we may direct your request to that organization.

9. Minors

The Service is intended for use by businesses and their authorized staff and is not directed to children. We do not knowingly collect personal data from children.

10. Changes to this Policy

We may update this Policy from time to time. Material changes will be reflected by updating the date above and, where appropriate, through in-app or other notice.
